Send Message Now #

This window is divided into 4 sections : Select Recipient list, SMTP settings, Send settings and General Settings.

Select Recipient list section #

In this section the following functions are provided

  1. Users can select one distribution list from the drop down and the addresses in the list will be used as recipients. Each contact will receive a personal message composed in the compose message section.
  1. If the user needs to create a new list Click on Create New List option, Create New List dialog box opens as below. Enter name for your list and click Create List.

Click Ok in the message box, then the Manage Lists window appears where you can  manage your new list. 

  1. Manage Recipient List option allows users to manage multiple distribution lists
  2. Total Emails shows the total number of contacts in the chosen list.
  3. The display grid shows the contacts in the currently chosen list.

SMTP Settings Section #

Use Morphymail smtp server to send upto 100 emails for free.

SMTP settings :- choose this option to set any third party smtp for sending your campaign. Choose this radio button and click the SMTP Settings button. To learn more Go to SMTP Settings Section

Start Sending Mail Button : Once composing ,smtp settings and contact list are ready, Click on this button. Now Send Mail Console appears

Click Start to send the campaign. The current status tab in the send mail window shows the Total number of recipients in the chosen list, the number of recipients processed, number of recipients to whom email was successfully sent, number of recipients to whom email delivery failed. It also shows the latest status of the send operation.

The Mail information tab of send mail console shows the email specific details like tracking code, total recipients, Use ReplyTo, ReplyTo Email, Sender Email etc as shown below,

The Mail Merge tab specifies the available mail merge field details.

Click on the Pause button to pause the campaign sending. When the Pause button is clicked it, the mail sending pauses and the button changes to Resume. Click on Resume to continue sending the campaign.

Click on the Close button to exit the Send mail console.

General Settings Section #

In the General settings window you can modify the send settings as you prefer.

The settings include

Timeout for sending a mail(in milliseconds)

Priority of an email, 

For unknown recipient name use ;The string to be used for name mail merge when recipient name is absent in for a contact in the distribution list, 

 Break time between each messages:- The delay time between each mail sending and the wait time when an error occurs during send operation.(in milliseconds)

Check Always use this setting to save the settings permanently .

Click Save General settings to save the current general settings.

Schedule Sending for Later #

Scheduling emails is essential when dealing with clients in different time zones. You should be at the top of their inbox. Here you can quickly schedule emails or messages. You can schedule for one time or show thoughtfulness by scheduling recurring emails. Schedule mail window has 4 sections,

Select Recipient list section #

Scheduling mail delivery #

Click on Schedule mail delivery option , the Task Scheduler window appears as below. It provides 4 types of scheduling: One time, Daily, Weekly and Monthly.

Activate one time only #

Use this option to schedule your sending for one time. Here the user has to specify the Date and time to start sending the campaign.

  • Check Activate one time only
  • Select date in the Start Date field
  • Select time in the Start Time field
  • Give a name for your scheduling task
  • Check Disallow start if on batteries  to prevent the starting  of the campaign , if the computer system is running on batteries at the scheduled time.
  • Check Run only if idle , to start sending the campaign at the scheduled time only if the computer system is in an idle state at that time.
  • Check Run only if network available to start the campaign only if network is available at the scheduled time.
  • Check Stop if going on batteries to stop sending when the system runs on batteries.
  • After giving all the values click the Schedule button.

Activate daily schedule #

Use this option to schedule your sending daily. Here the user has to specify the Date and time to start sending the campaign.

  • Check Activate daily schedule
  • Select date in the Start Date field
  • Select time in the Start Time field
  • Select the frequency of your campaign in Every field. For example if you need to schedule your campaign for every second day give 2 in Every field.
  • Select the date on which you want to stop this scheduling task or the last date to send the campaign in the End Date field and check it.
  • Give a name for your scheduling task
  • Check Disallow start if on batteries  to prevent the starting  of the campaign , if the computer system is running on batteries at the scheduled time.
  • Check Run only if idle , to start sending the campaign at the scheduled time only if the computer system is in an idle state at that time.
  • Check Run only if network available to start the campaign only if network is available at the scheduled time.
  • Check Stop if going on batteries to stop sending when the system runs on batteries.
  • After giving all the values click the Schedule button.

Activate weekly schedule #

Use this option to schedule your sending weekly. Here the user has to specify the Date and time to start sending the campaign.

  • Check Activate weekly schedule
  • Select date in the Start Date field
  • Select time in the Start Time field
  • Select the frequency of your campaign in Every field. For example if you need to schedule your campaign for every second week give 2 in Every field.
  • Select the Day(s) of week on which you want to send the campaign.
  • Select the date on which you want to stop this scheduling task or the last date to send the campaign in the End Date field and check it.
  • Give a name for your scheduling task.
  • Check Disallow start if on batteries  to prevent the starting  of the campaign , if the computer system is running on batteries at the scheduled time.
  • Check Run only if idle , to start sending the campaign at the scheduled time only if the computer system is in an idle state at that time.
  • Check Run only if network available to start the campaign only if network is available at the scheduled time.
  • Check Stop if going on batteries to stop sending when the system runs on batteries.
  • After giving all the values click the Schedule button.

Activate monthly schedule #

Use this option to schedule your sending weekly. Here the user has to specify the Date and time to start sending the campaign.

  • Check Activate monthly schedule
  • Select date in the Start Date field
  • Select time in the Start Time field
  • Select the Month(s) of the year on which you want to send the campaign.
  • Select the date on which you want to stop this scheduling task or the last date to send the campaign in the End Date field and check it.
  • Give a name for your scheduling task.
  • Check Disallow start if on batteries  to prevent the starting  of the campaign , if the computer system is running on batteries at the scheduled time.
  • Check Run only if idle , to start sending the campaign at the scheduled time only if the computer system is in an idle state at that time.
  • Check Run only if network available to start the campaign only if network is available at the scheduled time.
  • Check Stop if going on batteries to stop sending when the system runs on batteries.
  • After giving all the values click the Schedule button.

Viewing and Managing Scheduled tasks #

View A Scheduled tasks #

Click on View Scheduled tasks button , the View scheduled tasks window appears as above.

Click on the Manage button of the task you need to view. The corresponding task appears in the Manage tasks area below.

Editing  A Scheduled tasks #

Click on View Scheduled tasks button , the View scheduled tasks window appears as above.

Click on the Manage button of the task you need to view. The corresponding task appears in the Manage tasks area below.

Edit the fields you want to change and click Change Schedule button to save the changes.

Deleting  A Scheduled tasks #

Click on View Scheduled tasks button , the View scheduled tasks window appears as above.

Click on the Delete button of the task you need to delete. Click YES in the confirmation window.

Send Settings #

The user has to specify the message sender in the Sender emailid and Sender name fields. You can freely type in these fields. You can optionally specify a Reply-To address: this is the address replies will be sent to. If this field is left blank the replies will be sent to the sender email id.

The other details available in this section are,

The subject of the email message you composed appears in the Subject field. You can edit it here if you want. The preview of your email message in a larger browser window can be viewed by clicking Preview Mail Body . If you want to edit your email click the Change button , the Compose message window opens with the email message.

General Settings Section #

In the General settings window you can modify the send settings as you prefer.

The settings include

Campaign History #

All the email campaigns  done in the past and its statistics will be displayed in this window. This will let you organize your future mailings effectively.

The display grid shows the ID of the campaign, The date on which the history item was entered, the subject of the campaign email, the name of the list to which the campaign was sent, total recipients in that list, the number of recipients to whom the mail sent successfully, the number of recipients to whom the mail sending failed, if the campaign completed successfully or not, View button(Shows preview of the mail body in larger browser window) and Send button(sends mail again to the whole list).

The functions available on the history records are,

Refresh History : Allows users to Reload the whole history records.

Email Preview : Shows the email message of the chosen record,  in a larger browser window.

Recipients : Shows the list of recipients of the chosen campaign.

Log : Shows the sent log of the chosen email campaign.

Sent All Unsent : Sends mail to all the failed or unsent( for example if paused the campaign in between) email ids of the chosen campaign.

Sent From Begining: Sends the chosen campaign again to the list.

Delete : Removes the chosen history record .

Export :  Allows to save email ids of the chosen history record to a local file. The user can export Successfully send Mail ID, Failed Mail ID and Unsent Mail ID of the chosen campaign.
